Using Office View

We recommend using the help video above. We also have text help versions below. 

Office view is where you enter the specifics of a countertop putting it in motion. These specifics include:  

  • Order Status

  • Manufacturing Status

  • Material Status 

  • Template Schedule

  • Template

  • Select Cutter

  • Install Schedule 

  • Add Products

If you see a column with a magnifying glass or formula symbol like above, these fields are auto generated and no action needs to be taken. 

Order Status

Ordered countertops appear in office view. 

Change the status to "Completed" after a successful delivery or installation takes place. This will remove the countertop from office view. 

Completed countertops will appear completed in the invoices tab so you know they are ready to invoice. 

Manufacturing Status

Manufacturing status will change automatically as it gets processed through the shop. Set the initial status to get the countertop moving. 

  • QC Rejected Fix - Appears on finish shop view

  • Ready to Polish - Appears on finish shop view

  • RoboTop Draw - Remote drawing request

  • Ready to Program - Drawings are complete, the machine is ready to program

  • Ready to Cut - The countertop is ready to be assigned to a saw

  • Slab Cutting Stage - Slab is in cutting stage.

  • Currently Polishing - Currently being polished

  • Completed - Counter is complete

  • Sink Cutting Required - Appears on machine operators screen

  • Manufacturing Review - Needs review 

  • On hold - Counter is on hold

  • Waiting For Material - Waiting for material 

  • Waiting For Template - Waiting on template

Material Status

Create a material status by clicking the "+" button. 

 

Select  "+ Add new record" at the bottom of the pop up box. 

The material automatically pulls from the countertop specifications you entered when creating the countertop. 

Select the status of the material and the number of slabs required. 

If you are using the RoboTop inventory system and want to add material from inventory, click the " + Link to a record from Inventory" button. Select the material from inventory you want to use. 

Schedule Template

Click the "+" button to schedule a template.

Click the "+ Add new record" button at the bottom of the popup box. ​

Enter the template information and "x" the box to close. The template is now scheduled. 

Important Tip

Office view displays countertops of a project. Projects may have multiple countertops that need to be scheduled for a single template. 

Instead of creating multiple install records for a single project, create one template record. 

Template records are auto numbered. Search the number of the template in the search box and select that record instead of creating a new template record.

Each countertop has a template box. Click the "+" button to create a template for the countertop. 

We recommend field crews use the RoboTop app on their phone or tablet and directly upload the template from site with pictures and notes.

Click "+ Add new record" to create  a new template at the bottom of the pop up box.

Enter the details of the template.

Stickers, Layout, Cut DXF File

Production stickers slab layout cutting

Production stickers, slab layout, and cutting dxf files will be uploaded by the person responsible for programming the machines.

When a countertop is ready to be sent to production, click the "+" in the select cutter column. 

 

Click "+ Add new record" at the bottom of the pop up box at the bottom.

Select the machine you want to cut the countertop by clicking " + Link to a record from Machine Data"  

Select a status. 

This countertop will now appear on the selected machines screen. 

Install Schedule

​Scheduling an install and a template is the same process. 

 

Click the "+" button to schedule an install.

Click the "+ Add new record" button at the bottom of the pop up box. ​

Enter the installation information and "x" the box to close. The install is now scheduled.

Click the "+" to add products to a countertop. The templators and installers will see the products added at time of template and install.

Enter the quantity.
